We are MI5 we protect the UK from threats to national security such as terrorism and espionage. We gather intelligence and work closely with the police and law enforcement to detect threats and work out ways to stop them.

At MI5 it’s equally important that we protect our people, places and property. When you join us as a Maintenance Contract and Compliance Manager, you’ll help us do just that – from one, or several of our locations.


The Estates Team

The role of the Maintenance Contract and Compliance Manager covers a range of quality assurance, compliance and financial activities to support the delivery of our Estate Services objectives by supporting the management of the Estates North Southern Facilities Management Contract through the operation of contract processes, and the coordination of management actions and activities on their behalf of the Contract Service Manager, Operations Managers and Facilities Managers.


The Role

•    Maintain appropriate systems to enable effective planning and scheduling of Contract activities. Ensuring compliance with Departmental Security, Health & Safety, Equality & Diversity, Business Continuity and Business Planning policies and processes are all considered.
•    Maintaining Contract controls and in monitoring Contract reporting including escalation as appropriate to the Contract Service Manager. Manage change control process and documentation.
•    Responsible for Contract file management using robust version control.
•    Organise regular formal meetings, such as the monthly meeting where performance over the month is reviewed.
•    Act as the central contact point for Contractor Contract communications.
•    Financial control -Monitoring of contract spend and the compilation of budgets. Approve
•    Risks and issues - Maintain Contract risk and issue logs, escalating as appropriate.
•    Organise and attend daily meetings with the contractor to review progress of work and resolve issues.
•    Work with the contractor to plan major maintenance works with the Operations Team and the business.
•    Prioritise overdue work and sign of work that cannot be completed.
•    The escalation point for contract issues raised by the GEM Operations Team.
•    The role is primarily based in Central London and most of the time will be spent dealing with the contract in Central London, but the contract covers several sites in the south of the UK which will require travel and co-ordination from time to time.
•    Monitor key performance indicators and produce a report to the Service Manager on a monthly basis.

In addition to the skills above the candidate will be able to demonstrate:

•    Evidence of managing changing and heavy workloads whilst maintaining good service standards
•    Experience of managing a busy team and prioritising their workloads, playing to team strengths and supporting them to deliver
•    Excellent customer service and user liaison skills at all levels
•    A team-orientated approach, with the ability to motivate and encourage others to do their best while leading by example


Desirable skills and experience

The following qualifications are desirable, but not essential:
•    NEC3: Introduction to the Term Service Contract (TSC)
•    NEC3: Quality Management in the Term Service Contract (TSC)
OR
•    NEC3: Term Service Contract (TSC) Service Manager Accreditation

Eligibility Criteria

What to Expect

Our recruitment process is fair, transparent, and based on merit. Here is a brief overview of each stage, in order:

Our Vetting

To work in this role you will need the highest security clearance, known as Developed Vetting (DV). It’s something everyone in the UK Intelligence Community has to go through and it can take some time. As part of the DV process you will be asked to fill in a detailed questionnaire and attend an interview with a vetting officer. In your interview the vetting officer will have a thorough, compassionate and honest discussion with you about you as a person and your life experiences, to ensure holding a DV clearance is right for you. You don’t need to do any preparation for your vetting interview, just be honest and be yourself. All applicants for DV are treated impartially and consistently, irrespective of gender, race, disability, religion, age, sexual orientation and other protected characteristics.
